How Visit Vail collects, uses and protects your personal information — and what we never touch.
Who We Are
This website is operated by Visit Vail by Esquiar LLC (“Visit Vail”, “we”, “us”), a vacation rental management company serving Vail, Beaver Creek, Avon and the surrounding Vail Valley in Colorado.
We are the party responsible for the personal information described in this policy. Our mailing address is PO Box 628, Avon, CO 81620, USA. We do not receive mail at our office.
Information We Collect
When you send an inquiry. Our contact form asks for your name, email address and message. You may also give us your phone number, the number of guests, and your arrival and departure dates. We store these inquiries on this website, together with the page you sent them from, your IP address and browser type, and we send them to our team by email.
When you make a booking. To reserve a property we need your name, email address, phone number, stay dates and the number of guests. This information is passed to Guesty, the reservation platform we use to manage our properties.
Payment details. See Payment Information below. In short: card details go directly from your browser to our payment processor and are never received or stored by this website.
Automatically. Like nearly every website, our server records standard technical information when you visit: IP address, browser type, the pages you view and the time of your visit. We use this to keep the site running and secure. If you allow analytics or advertising cookies, the tools described under Cookies and Analytics also collect information about your visit.
How We Use Your Information
- To answer your inquiry and recommend properties that fit what you asked for.
- To take, confirm and manage your booking, including check-in details and guest communication.
- To take payment, including the payments due later under our Terms and Conditions, and to guard against fraudulent transactions.
- To meet our legal, tax and short-term rental licensing obligations, including those of the Town of Vail.
- To understand how visitors use the website and, if you allow it, to measure and improve our advertising.
- To keep the website working, secure and free of abuse.
We do not sell your personal information for money, and we do not give it to other companies for their own marketing. The advertising cookies described below may count as “sharing” or “targeted advertising” under some state privacy laws. They only run if you allow them, and you can switch them off at any time.
Payment Information
This is worth stating plainly, because it is the part guests most often ask about.
When you pay for a booking, your card details are sent directly from your browser to our payment processor using their own secure form. The card number never reaches this website, our servers, or our email. We receive only a token — a reference that lets us charge the agreed amount — along with the last digits and the card type.
The token is kept so that we can take the payments set out in our Terms and Conditions: the balance due before arrival, and any charges for damage or incidentals after your stay.
If your bank asks for additional verification (3-D Secure), you will be taken to your bank’s own page to confirm and then returned here. We never see the credentials you enter there.
Who We Share Information With
We share personal information only with the companies that make a booking possible or that we use to run the website, and only with what they need:
- Guesty — the reservation and property management platform that holds our calendars, rates and guest records.
- GuestyPay (Amaryllis) — processes card payments and holds the payment token.
- Forter — screens bookings for payment fraud. This is why a booking can occasionally be declined even when your bank approves the card.
- Our website host (GoDaddy) and email provider (Google Workspace) — they store the website and the inquiries you send us.
- Google — for Google Analytics and Google Ads if you allow those cookies, and for the maps on our property pages.
- Meta — for the Meta Pixel if you allow advertising cookies.
- Property owners and our local team — the name and stay dates needed to prepare and service the property.
- Authorities — where the law requires it, including short-term rental reporting and tax obligations.
If you booked through a travel platform such as Airbnb, Booking.com or Vrbo rather than directly with us, that platform’s own privacy policy also applies to how they handled your details before passing them to us.
Cookies and Analytics
When you first visit, a cookie banner asks which cookies you allow. Analytics and advertising cookies only run after you accept them. You can change your choice at any time with the Cookie settings link at the bottom of every page. If your browser sends a Global Privacy Control or Do Not Track signal, we treat it as a decline.
Cookies we need. Some cookies are required to make the website work at all — keeping it secure and remembering your choices, including your cookie choice. These are always on and cannot be switched off.
Analytics — Google Analytics. If you allow it, we use Google Analytics to understand how people find and use the site: which pages get read, which rentals get looked at, and where visitors came from. It sets cookies and sends that information to Google. It does not tell us who you are — we cannot see your name or email address from it.
Advertising — Google Ads and Meta Pixel. If you allow advertising cookies, these tools tell Google and Meta (Facebook and Instagram) that you visited our website and which pages you looked at. We use this to measure whether our ads lead to bookings and to show our ads to people who have already visited the site. Google and Meta can connect this with what they already know about you from your account with them, and use it under their own privacy policies.
Maps — Google Maps. Property pages and the contact page show a map from Google. Loading the map sends your IP address to Google, and Google may set its own cookies under its privacy policy.
Google Search Console. This shows us which searches bring people to the site. It sets no cookies and does not follow individual visitors.
How Long We Keep Information
- Inquiries that do not lead to a booking — up to 24 months, then deleted from this website.
- Booking and payment records — 7 years after your stay, to meet tax and accounting rules.
- Analytics data — no longer than 14 months in Google Analytics.
We may keep information longer where the law requires it or where it is needed to resolve a dispute.
Your Privacy Rights
Wherever you live, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct it if it is wrong;
- delete it, where we are not required to keep it;
- stop using it for advertising, or stop contacting you.
You can switch off advertising and analytics cookies yourself at any time with the Cookie settings link at the bottom of every page.
To make a request, email [email protected] or call 970.306.5581. We may need to confirm your identity before acting on it, and we will reply within 45 days. We will not charge you or treat you differently for asking.
If we decline your request, we will tell you why. You can appeal by replying to our answer with the word “Appeal”, and we will respond within 45 days. If you are still not satisfied, you can contact the attorney general of the state where you live.
Residents of some states, including Colorado and California, have these rights under state privacy law. We give the same rights to every guest.
Children’s Privacy
This website is intended for adults booking accommodation. We do not knowingly collect personal information from children. Where a booking includes children, we collect only the number and ages needed to prepare the property and to apply occupancy rules.
How We Protect Information
The website is served over an encrypted connection. Access to inquiries and booking records is limited to the people who need it. Card details are handled entirely by our payment processor, which reduces the risk to you: there is no card number stored here that could be exposed.
No system is perfectly secure. If a breach affects your personal information, we will tell you and the relevant authorities as required by law.
Visitors From Outside the United States
Our properties, our team and our servers are in the United States. If you contact us or book from another country, your information will be transferred to and processed in the United States, where privacy law differs from that of your home country.
Changes to This Policy
If we change how we handle personal information — for example by adding a new measurement or advertising tool — we will update this page and change the date below. Significant changes will be highlighted.
